Business Support Officer

My client, who specialise in providing supported living services and accommodation to vulnerable young people aged between 16 - 25 years, are looking for an experience Business Support Officer to join their team on a Full Time, Permanent basis working Monday - Friday 8.30am-5pm (37.5 hours) paying £17,920 per annum.

Job Purpose:

  • You will be required to provide the Team Leader with effective day to day administrative support in managing and overseeing caseloads and staff team performance
  • To build strong and effective relationships with professionals, service users and colleagues by ensuring that information is recorded and shared appropriately and in a timely manner
  • To act as Duty Worker for calls received in the office from professionals, service users and staff
  • To ensure all relevant reports and meeting minutes are produced to a highly professional standard and emailed out to relevant parties in a timely manner 
  • To ensure obligations are met under safeguarding and evidencing outcomes by being responsible for ensuring supervisions are taking place at the allocated times and recorded properly, and evidence of service user's progress and outcomes is properly recorded and shared with professionals 

Roles and Responsibilities:

  • Checking team leaders' diaries, emails and handling/escalating queries
  • Handling calls in the office
  • Adding new staff to online case management system and ensuring they are always linked to the profiles of the service users' they are working with 
  • Monitoring staff records and providing coaching and feedback to ensure records produced are to a high standard
  • Ensuring incident reports are submitted in a timely manner
  • Upon placement of new service users, set up service up profiles on case management system, acquire and update this with information from local authority and create risk assessment
  • Creating and sending weekly updates to professionals for each service users
  • Reporting and following up on maintenance issues concerning service user properties 
  • Taking minutes at meetings and sharing information where appropriate
  • Archiving young person files and sending to local authorities in line with contract when placements end 
  • Prompting the completion of staff supervisions, ensuring documents are completed and uploaded onto staff systems
  • Assisting with finding staff for rotas where required
  • General admin duties: arranging transport, chasing social workers for paperwork, chasing and uploading receipts from staff etc 

To be considered for the role, you must:

  • Have previous experience in an administrative role 
  • Ideally have previous experience working with young people
