Purchasing Administrator

Our client is the UK's leading provider of Community equipment services, we deliver complete end to end services through all stages of equipment provision and recycling.

Working as part of the Product Sales Purchasing team responsible for all aspects of buying and stock control for a designated range of products held within the main Logistics Centre.

Key Accountabilities/Outputs:

  • Monitor and manage stock levels in distribution centre ensuring stock availability at all times whilst minimising and preventing long stocks.
  • Forecast for future sales ensuring purchase orders are raised and delivered on time.
  • Ensure best prices are received from suppliers and take proactive steps to minimise carriage charges.
  • Assist quality control with return to suppliers.
  • Resolve delivery issues raised by the warehouse by liaising with suppliers quickly and efficiently
  • Expedite all outstanding orders on a weekly basis ensuring system delivery dates are updated and accurate for all users to view.
  • Resolve day to day customer queries on all products and orders, liaising with customer services
  • Monitor and maintain product data held within SAP.
  • Invoice queries resolved promptly and cleared for payment.
  • Produce weekly delivery reports for direct supply orders and for key account customers.
  • Monitor supplier performances and take steps to rectify non conforming supplier.
  • Provide cover when other team members are absent.
  • Perform any other ad hoc duties that are required when necessary.

Key Performance Indicators/Standards of Performance:

  • Service levels (stock availability) in excess of 99%
  • Purchase orders raised on time.
  • Outstanding vendor invoice queries to target.
  • Product and supply chain cost savings to target

Key Competencies:

  • Numerate
  • Literate
  • Good interpersonal skills
  • PC Literate (Excel and Word)

Experience, Skills and Knowledge:

2 years’ experience in a team environment

Naturally numerate

Must be able to work as part of a team and be prepared to be flexible as deadlines and priorities sometimes change.

Ability to prioritise workload

Must have a very good command of Microsoft Excel and Word

Ability to communicate confidently at all levels is essential

Knowledge of SAP beneficial but not essential.
