Job Summary:
The Legal Secretary in the Family Department plays a crucial role in supporting the family law solicitors by performing a variety of administrative and legal tasks. The position requires a high level of organisation, attention to detail, and the ability to handle sensitive and confidential information. Ideally you will have a strong understanding of family law procedures, excellent communication skills, and the ability to manage multiple tasks efficiently.
Key Responsibilities:
Administrative Support:
Prepare, format, and proofread legal documents, correspondence, and court forms.
Maintain and organise case files, ensuring all documents are filed correctly and are easily accessible.
Manage calendars and schedule appointments, court dates, and client meetings.
Handle incoming calls, emails, and other communications, directing them to the appropriate team members.
Prepare and send out invoices to clients and follow up on outstanding payments.
Legal Support:
Assist solicitors and attorneys in preparing for hearings, trials, and meetings by organizing documents, preparing case summaries, and conducting research.
Draft and file legal documents.
Liaise with clients, opposing counsel, court staff, and other third parties as required.
Client Interaction:
Act as the first point of contact for clients, providing them with updates on their case status and responding to inquiries.
Handle sensitive client information with the utmost confidentiality and professionalism.
Assist clients in completing necessary forms and gathering required documentation.
Office Management:
Maintain office supplies and ensure all necessary equipment is functioning correctly.
Assist with billing and other financial matters, including tracking expenses and processing payments.
Provide general administrative support to the Family Law team, including photocopying, scanning, and data entry.
Case Management:
Keep track of important deadlines and ensure all filings and submissions are made on time.
Update and manage case management systems with accurate and up-to-date information.
Assist in the preparation of trial bundles and other case documentation.
Qualifications and Skills:
Experience: Previous experience as a legal secretary with fast and accurate audio typing skills, particularly in family law, is highly desirable.
Knowledge: Strong understanding of family law procedures, including divorce, custody, child support, and adoption.
Technical Skills: Proficiency in Microsoft Office Suite, legal case management software, and e-filing systems.
Communication Skills: Excellent verbal and written communication skills, with the ability to interact professionally with clients, court staff, and legal professionals.
Organisational Skills: Strong organisational skills, with the ability to manage multiple tasks and deadlines effectively.
Attention to Detail: High level of accuracy in preparing documents, managing files, and handling financial matters.
Confidentiality: Ability to handle sensitive and confidential information with discretion.
